Overview of project/role

 

The job holder is responsible for providing administrative support service to a team led by the Road Fleet Vehicle Manager within the Logistics & Warehousing business unit.

 

Job holder will be expected to ensure effective management, communication and reporting of key departmental activities including Fleet, Maintenance and vehicle repairs. This role will help support compliance with corporate governance, company polices and meeting/managing customer & stakeholder expectations. This role will also be responsible for delivering key tasks and providing supporting information needed to delivery & support cost reductions and performance improvements across the business. 

 

Key Accountabilities

 

  • Processing and generating responses to standard correspondence and management information request related to departmental operations in accordance with the manager’s guidelines. Supporting continuous service improvement and generation of accurate Key Performance indicator information for viz board meetings
  • Expectation to provide effective administrative support across the Service Delivery function, such as: Maintenance, Customer Service and replacement programme in accordance with policy, processes and service level agreements
  • Maintain and develop a network of contacts both internally within the Vehicle Logistics team and across Service Delivery, department customers, stakeholders and external suppliers to respond effectively to any customer specific queries whilst
  • also seeking expertise on issues outside of current remit which will affect Logistics & Warehousing's performance
  • Tactical but purposeful progress chasing of customers, suppliers, managers, staff at all levels and where required to ensure deadlines for tasks/ issues are met
  • Ensure the smooth and efficient running of the office/functional areas to maintain an excellent level of service to TfL wide teams and their customers
  • Collect and collate specific sets of information on a day-to-day basis and manage relationships around the Waste collection process
  • Conform to policies, procedures and formats for relevant documentation and recommend improvements where possible

Skills

 

  • Ability to show concern for quality and work to time sensitive deadlines.
  • Ability to provide support in functional meetings including preparing supporting management information report.
  • Ability to use Microsoft Office including Word, Excel, Outlook, and PowerPoint to intermediate level
  • Ability to effectively collate data and report on findings
  • Ability to communicate effectively, both orally and in writing
  • Ability to be flexible, to quickly grasp and understand new challenges and deliver tasks to a consistently high standard.
  • Ability to deliver consistent and excellent customer service to both internal customers, stakeholders and external parties.
  • Ability to contribute in providing appropriate data in planning for improvements
  • Proactive in all areas of the job, always looking at ways of streamlining processes and checking accuracy of reports and information produced.

 

Knowledge

 

Knowledge and understanding of what constitutes excellent customer service and positive customer interaction

  • Knowledge of data entry and collection techniques and procedures
  • Knowledge of producing management information reports, improvement plans and providing customer feedback
  • Knowledge of working to polices, standards and management instructions to support departmental objectives
  • Knowledge and a good understanding of requirements to run a logistics transport organisation is desirable
  • Excellent knowledge of reporting tools, MS Excel, and all MS Office packages in general
  • A good level of understanding of how commercial/finance e.g.  working to budgets and achieving cost savings  (desirable)

 

Experience

 

  • Significant experience of working in an office environment, as part of a team, providing administrative support to
  • managerial / professional staff (including an individual manager or a team).
  • Experience of taking personal responsibility for managing the support activities in an office and working to tight timescales.
  • Experience of organising effectively to deliver against appropriate objectives.
  • Experience of working in a highly legislated industry with strict adherence to processes and procedures needed to ensure compliance.
  • Experience in data collection, analysis and the production of accurate management information data.
