Overview of project/role
As a Programme Management Office (PMO) Administrator you will support the PMO and Delivery Hub’s Value, Systems and Governance work across the PMO and TfL’s capital delivery portfolio.
You will be involved in the planning, liaison, coordination, administration, and communication activities to support the effective management of PMO and Delivery Hub improvement initiatives and programmes. You will manage the gathering of qualitative knowledge from within TfL, and across wider government and private capital delivery portfolios.
Key Accountabilities
- Support the ongoing development, administration and maintenance of the value and knowledge systems with SharePoint, powerpoint and M/S Excel expertise.
- Support the organisation and administration of regular Knowledge Management Project Management Community (PMC) workshops, Community of Practice (VCoP) events, training and communications campaigns.
- Manage the VCI the team mailbox and team workload through kanban/agile workboard.
- Manage VCI Value and Lessons Learned document library and knowledge portal, ensuring correct naming convention, version etc. for easy information retrieval.
- Generate value, lessons learned and best practice case studies for dissemination across TfL and support Quality Control of Lesson Learned submissions
- Work with stakeholders to maintain a TfL wide (Capital focus) Improvements tracker.
- Contribute to the improvement of the suite of Whole Life Value, Knowledge Management and Benchmarking products, tools and templates for use by VCI, PMO/PMU’s, and Delivery communities.

Skills
- Excellent organisation skills to manage a multiple streams of work in support of delivery of high risk, value and complex project and programmes.
- Ability to use Microsoft Office including Word, Excel, Outlook, and PowerPoint to intermediate level (e.g. tables, , pivot tables, presentations, etc).

Knowledge
- Knowledge and understanding of capital projects and programmes with an understanding of how disciplines and programme controls supports a high functioning environment.
- Ability to use Microsoft Office including Word, Excel, Outlook, and PowerPoint to intermediate level (e.g. tables, track changes, pivot tables, presentations, etc).
- Ability to provide support in meetings including preparing supporting papers.
- Knowledge of reporting structures and data analysis techniques.
- Good knowledge of Project and Programme Management Systems and Tools.
Experience
- Experience of dealing with a range of stakeholders at all levels across the organisation.
- Experience of Data Entry and Data Maintenance working to tight deadlines.
- Experience in effective communication strategies, managing stakeholder demands communicating effectively, both orally and in writing.
- Experience of creating, adapting and monitoring process in major projects and experience of implementing tools to support changes (Desirable)
