Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.
Role Overview
The Quality and Assurance Business Administrator role supports the Programme Management Office (PMO) and Delivery Hubs in the delivery of quality and assurance activities and the management of related data generated by the Quality and Assurance team.
Scope of role includes a multitude of planning, liaison, coordination and communication activities associated with supporting the effective management of the Quality strategy, PMO and Delivery Hub quality reporting.
Key accountabilities
- Support the development, rollout and continual refinement of quality management processes, ensuring consistent adoption across Hubs and promoting alignment with TfL’s wider assurance and governance frameworks.
- Contribute to lessons learned activities by capturing insights, identifying systemic issues and supporting the implementation of corrective and preventive actions to strengthen delivery quality across all programmes.
- Responsible for supporting the planning, organisation and administration of all meetings organised and conducted by the Quality and Assurance team, PMO management and Delivery Hubs.
- Collate and analyse data as required, reporting on relevant metrics, trends and insights within the team and maintain dashboards, in alignment with the performance reporting team.
- Supports ongoing trend analysis for critical, systemic issues and high value opportunities to replicate successes and prevent re-occurrence of cost of poor quality (COPQ)
- Contribute to driving and leading a positive safety culture within Capital projects and ensuring their team is invested in managing and improving safety performance and provide general administrative assistance for the business area.
Skills, Knowledge and Experience
Knowledge
- Knowledge of Quality management systems.
- Knowledge and understanding of capital projects and programmes with an understanding of how disciplines and programme controls supports a high functioning environment.
- Ability to provide support in meetings including preparing supporting papers.
- Ability to use Microsoft Office including Word, Excel, Outlook, and PowerPoint to intermediate level (e.g. tables, pivot tables, presentations, etc).
- Knowledge of reporting structures and data analysis techniques.
- Good knowledge of Programme and Project Management Systems and Tools.
- Knowledge of quality management systems auditing
Skills
- Excellent organisation skills to manage a multiple streams of work in support of delivery of high risk, value and complex project and programmes.

- Information Management & Reporting
Experience
- Experience of creating, adapting and monitoring process in major projects and experience of implementing tools to support changes.
- Experience of dealing with a range of stakeholders at all levels across the organisation.
- Experience of Data Entry and Maintenance working to tight deadlines.
- Experience in effective management of stakeholder demands and communicating effectively, both orally and in writing.
