*Hybrid working within this role enables a balance of 50 per cent of time split between the office and home over a 4-week period. Hybrid working arrangements can evolve subject to business requirements.
Job Purpose
Responsible for developing and maintaining documentation, which clearly defines and scores safety and environmental risks or authoring maintenance, operation and technical tasks and activities to support the successful delivery of Logistics and Manufacturing (L&M) tasks. Ensuring all documentation is presented in a consistent, legible format and version controlled using agreed company systems to support compliant operations at all times.
Key Accountabilities
- Accountable for organising and chairing in-person team meetings to gather and collate information from colleagues and working groups including subject matter experts, record the information discussed and translate this into documented technical outputs including Work Instructions, Technical Bulletins and Risk Assessments.
- Accountable for writing; editing and proof reading new and existing documentation to ensure messaging is tailored to the target audience; is easily understood and supports improved ways of working.
- Accountable for reviewing documentation in a timely manner and ensure publication via approved company document control process and via approved document management systems in collaboration with document controllers.
- Responsible for collating information and verifying the contents of all documents produced to ensure their accuracy and all documentation content has consistent wording and style.
- Collaborating with the TfL Management team; Safety Health and Environment teams and Engineering teams to ensure documentation remains in the latest format and ensuring existing documents are transferred to new templates when required; this may include creating and editing pictures and diagrams.
- Responsible for ensuring all documents will also reflect latest compliance policies, statutory and company standards
- Hold and retain relevant certification to facilitate on site support meetings and data gathering in operational areas to ensure a full understanding of business needs and these are reflected in produced documents and communications. Following site meetings make recommendations around suggested process and procedural changes to relevant managers to support improved ways of working and if accepted ensuring produced documentation reflects any changes.
- Managing time sensitive project agendas to ensure multiple documents are worked on, sometimes simultaneously, to ensure ongoing compliant operations and that all relevant parties are aware of documented changes.
Skills, Knowledge & Experience
Knowledge
- HNC in Engineering or Safety qualification is a minimum required.
- Strong knowledge of safety legislation applicable to a railway environment
- Knowledge and application of software or techniques to support documentation that is easy to read/understand ie AI tools Desirable
- A strong working knowledge of Safety, Health, Environment Electronic Risk (SHEERA)
- Knowledge of the LU standards and concession approval process and detailed knowledge of LU fleet, maintenance and renewals.
- A good understanding of document control processes and procedures Detailed understanding of railway engineering standards and concessions
Skills
- Strong communication skills - including articulating and feeding back the inputs from data gathering to ensure a common understanding
- Excellent presentation skills Strong eye for detail and ability to translate information into easily understood instructions/ documentation
- Excellent organisational skills and ability to priority workload in an environment of changing demands Highly flexible and self motivated
Experience
- A strong proven history of document authoring Demonstrable understanding of information sources for maintenance activities and/or safety management include engineering drawings, manuals work instructions and procedures.
- Experience of MS Office products Experience of producing safety risk assessments is essential
